Website Terms and Conditions
TERMS & CONDITIONS
Terms governing your use of Mahana Travel's website and travel services.
Last Updated: September 2026
These Terms & Conditions govern the use of the Mahana Travel website and, where applicable, the travel planning and booking services provided through Mahana Travel.
By using this website, submitting an inquiry, engaging Mahana Travel for professional planning services or authorizing travel arrangements, you acknowledge that different terms may apply at different stages of your relationship with Mahana Travel.
Specific travel arrangements may also be subject to supplier terms and conditions, fare rules, cancellation policies, signed agreements and other disclosures provided during the planning and booking process.
01 — ABOUT MAHANA TRAVEL
Mahana Travel is a Canadian-based travel advisory providing professional travel planning and booking services, including Group Space, Custom Group Travel and Personalized Escapes.
Mahana Travel provides travel services in association with Centre Holidays Inc., TICO #50018114.
All travel planning, reservations, bookings and client accounts are coordinated through Mahana Travel's Canadian operation.
Mahana Travel is supported by team connections in The Islands of Tahiti, which assist with local relationships, destination perspective and, where appropriate, client support while travelling. These connections do not constitute a separate booking operation. All travel bookings remain coordinated through Canada.
02 — USING THIS WEBSITE
The information provided on this website is intended to introduce Mahana Travel, our services, travel opportunities, destinations and planning process.
You may use this website for lawful personal purposes.
You may not knowingly use this website in a manner that:
-
interferes with its operation or security;
-
attempts to gain unauthorized access to the website or associated systems;
-
introduces malicious software or harmful code;
-
uses automated means to collect or reproduce substantial portions of website content without permission;
-
infringes intellectual property or other legal rights; or
-
is fraudulent, unlawful or otherwise harmful.
Mahana Travel may modify, suspend or discontinue any portion of the website without notice.
03 — WEBSITE INFORMATION
We make reasonable efforts to provide useful and current information; however, travel information changes frequently.
Destinations, entry requirements, supplier policies, schedules, prices, promotions, availability and other travel-related information displayed on this website may change after publication.
Website content should therefore not be interpreted as a guarantee of current pricing, availability or eligibility.
Information applicable to a specific journey will be reviewed during the planning and booking process.
04 — INQUIRIES DO NOT CONSTITUTE BOOKINGS
Submitting a contact form, Journey Profile, Custom Group request, Group Space inquiry or other communication to Mahana Travel does not create a reservation, professional planning agreement or obligation for Mahana Travel to provide services.
For services that are reviewed before acceptance, Mahana Travel may consider factors including destination, timing, scope, traveller expectations, anticipated travel investment, availability and whether the request aligns with the services we provide.
Where appropriate, travellers may be invited to a complimentary Journey Conversation before deciding whether to proceed.
05 — PROFESSIONAL PLANNING SERVICES
Custom Group Travel and Personalized Escapes may involve professional research, itinerary design, supplier sourcing, travel coordination and other planning services.
Where a Professional Planning Agreement and Planning Investment apply, these will be presented before the applicable professional planning services begin.
Payment of a Planning Investment compensates Mahana Travel for the professional services described in the applicable agreement.
Unless expressly stated otherwise in writing, a Planning Investment is separate from payments made toward airfare, accommodations, cruises, tours or other travel arrangements.
The specific Professional Planning Agreement provided to a client governs the scope of professional planning services for that engagement.
06 — TRAVEL PROPOSALS & QUOTATIONS
Travel proposals, recommendations and quotations are based on information and availability existing when they are prepared.
Unless specifically stated otherwise, a proposal or quotation does not hold inventory or guarantee pricing.
Prices, exchange rates, taxes, fees, promotions and availability may change before a reservation is confirmed.
Travel arrangements become confirmed only after the applicable booking requirements have been satisfied and confirmation has been issued or communicated.
07 — TRAVEL SUPPLIERS
Travel arrangements may be provided by independent third-party suppliers, including airlines, cruise lines, hotels, resorts, tour operators, transportation companies, destination management companies and activity providers.
Those suppliers establish their own terms, payment schedules, change and cancellation policies, operating procedures and conditions of carriage or service.
When you authorize Mahana Travel to arrange travel services supplied by a third party, the applicable supplier's terms and conditions may form part of your travel contract.
Clients are responsible for reviewing supplier conditions provided or referenced in connection with their reservations.
08 — PRICING, PAYMENTS & CONFIRMATION
Prices are subject to availability and applicable supplier conditions until confirmed.
International travel arrangements may involve foreign currencies. Where applicable, Canadian-dollar pricing may be affected by exchange rates, supplier currency conversion practices and changes occurring before payment or confirmation.
Deposits and final payments must be received by the applicable deadlines.
Failure to satisfy a payment deadline may result in cancellation, loss of inventory, price changes or supplier penalties.
Some travel arrangements may be non-refundable from the time of booking.
Specific payment and cancellation conditions will be communicated in connection with the applicable reservation.
09 — CHANGES & CANCELLATIONS
Requests to change or cancel confirmed travel arrangements are subject to the applicable supplier's terms and conditions.
Changes may result in:
-
supplier change fees;
-
fare differences;
-
cancellation penalties;
-
loss of deposits;
-
loss of promotions or benefits;
-
non-refundable components; and/or
-
applicable professional service fees.
A request to cancel does not automatically create entitlement to a refund.
Where a supplier approves a refund, the amount and processing timeline remain subject to the supplier's policies and applicable payment processes.
10 — TRAVELLER RESPONSIBILITIES
Travellers are responsible for providing complete and accurate information and reviewing all documentation supplied in connection with their journey.
This includes verifying:
Names • Dates • Flights • Accommodations • Cruise details • Traveller information • Payment deadlines • Other reservation details
Travellers must notify Mahana Travel promptly of errors, omissions or changes.
Travellers are also responsible for obtaining and carrying all passports, visas, permits, authorizations and other documentation required for their citizenship, itinerary and circumstances.
Entry and transit requirements may change and can vary between travellers.
11 — HEALTH, SAFETY & ACCESSIBILITY
Travellers are responsible for determining whether a destination, transportation service, accommodation, excursion or other travel arrangement is appropriate for their personal circumstances.
Relevant mobility requirements, accessibility needs, dietary requirements and other considerations should be disclosed as early as possible so appropriate requests can be communicated to suppliers.
Mahana Travel will make reasonable efforts to assist with such requests, but supplier services and special requests cannot be guaranteed unless expressly confirmed by the applicable supplier.
Health, vaccination and entry requirements are determined by governments and other authorities and may change.
12 — TRAVEL INSURANCE
Mahana Travel strongly recommends that travellers consider appropriate travel insurance, including coverage that may protect against eligible emergency medical expenses, trip cancellation, interruption, baggage loss and travel delays.
Coverage, eligibility, exclusions, limitations and claim requirements vary by policy.
Travellers are responsible for reviewing insurance policy wording and determining whether the selected coverage meets their needs.
Where required, travellers who decline offered travel insurance may be asked to acknowledge that decision.
13 — EVENTS BEYOND OUR CONTROL
Travel may be affected by circumstances beyond the reasonable control of Mahana Travel or the applicable supplier.
These may include severe weather, natural disasters, government actions, labour disruptions, civil disturbances, public health events, transportation disruptions, supplier operational changes, border restrictions and other extraordinary circumstances.
When such an event affects a journey, the options available to the traveller will depend on the circumstances, supplier policies, applicable laws and any travel insurance coverage purchased.
Mahana Travel will provide reasonable assistance within the scope of our services but cannot guarantee the availability of refunds, alternate arrangements or compensation from independent suppliers.
14 — CHANGES BY TRAVEL SUPPLIERS
Airlines, cruise lines and other suppliers may alter schedules, routes, aircraft, vessels, ports, accommodations, excursions or other components of a journey.
Where Mahana Travel becomes aware of a material supplier change affecting a confirmed booking, we will communicate the information available to us and assist with appropriate next steps within the scope of our services.
Any refund, credit, substitution or compensation resulting from a supplier change remains subject to the applicable supplier's terms and applicable law.
15 — TRAVEL INSURANCE & UNINSURED LOSSES
Where travel insurance is available, travellers are encouraged to consider coverage appropriate to the financial and medical risks associated with their journey.
Mahana Travel is not an insurer and does not determine whether an insurance claim will be approved.
Claims are assessed by the insurer according to the policy purchased.
Choosing to travel without appropriate insurance may leave the traveller responsible for losses that would otherwise potentially have been insurable.
16 — THIRD-PARTY WEBSITES & SERVICES
This website may contain links to third-party websites, booking systems, insurers, suppliers or other external services.
These services operate independently from Mahana Travel.
A link does not necessarily constitute an endorsement of all information, products or services available through the third-party website.
Use of third-party websites is subject to their own terms and privacy practices.
17 — INTELLECTUAL PROPERTY
Unless otherwise indicated, the Mahana Travel name, branding, website design, written content, original graphics and other original materials appearing on this website are owned by or used under authorization by Mahana Travel or the applicable rights holder.
Website content may be viewed and shared for ordinary personal, non-commercial purposes.
You may not reproduce, republish, sell, commercially exploit or materially modify original Mahana Travel content without permission, except where permitted by law.
Photographs, logos and other materials belonging to third parties remain the property of their respective rights holders.
18 — PRIVACY
Personal information submitted through this website or during the travel planning and booking process is handled in accordance with our Privacy Policy and applicable requirements.
Travel planning may require personal information to be provided to Centre Holidays Inc., travel suppliers, insurers or other service providers where necessary to arrange or administer requested services.
For information about how personal information is collected, used, disclosed and protected, please review our Privacy Policy.
19 — BOOKING POLICIES & PROCEDURES
Our Booking Policies & Procedures provide additional information about inquiries, professional planning, proposals, deposits, payments, changes, documentation, insurance and traveller responsibilities.
Those policies should be read together with these Terms & Conditions and the specific conditions applicable to each booking.
[READ BOOKING POLICIES & PROCEDURES →]
20 — WHICH TERMS APPLY
A journey may involve several documents and sets of conditions.
Depending on the service purchased, these may include:
-
these Terms & Conditions;
-

-

-

-

Where a supplier's specific terms apply to a travel service provided by that supplier, those supplier terms govern that service.
Where a signed Professional Planning Agreement establishes terms specific to Mahana Travel's planning services, that agreement governs those professional services.
21 — CHANGES TO THESE TERMS
Mahana Travel may update these Terms & Conditions periodically to reflect changes to our services, business practices, website or applicable requirements.
The version published on this website will display its most recent revision date.
Changes apply prospectively from the date the revised terms are published, except where otherwise required by law or agreed in writing.
22 — GOVERNING REQUIREMENTS
